Checkpoint Privacy Policy

Effective date: September 29, 2026

This policy explains how Checkpoint (https://cbcheckpoint.com) handles information. Checkpoint is the in-house transaction management app of Coldwell Banker Salute ("Salute," "we," "us") in Lawton, Oklahoma. It includes the private QuickBooks Online integration known as "Salute Desk."

Who uses Checkpoint

Checkpoint is for internal use only. It is used by Salute's agents (about 17), our broker, and office staff. It is not sold or offered to the public, and clients do not have accounts.

User accounts

For each user we store a name, email address, and a password hash (we never store your password in plain text).

Client (consumer) information

Real estate deals involve personal information about buyers, sellers, and other parties to a transaction. A deal in Checkpoint may include:

Documents reach Checkpoint when an agent or staff member uploads them, or when someone emails them to a deal's private email address.

We use client information only to manage the transaction, for the broker's compliance review, and for recordkeeping. Access is limited to the agent or agents on the deal, the broker, and authorized office staff. We do not sell client information. We keep it as long as Oklahoma real estate recordkeeping rules require.

Agents and staff

For agents and staff, Checkpoint stores:

You can see your own information. The broker and administrators can see information for all agents and staff so they can supervise deals, pay commissions, and run the office.

QuickBooks Online

Checkpoint connects only to Salute's own QuickBooks Online company. It reads Salute's accounting data, such as reports, accounts, and transactions, and will later post commission and disbursement entries to Salute's own books. This data is used only for Salute's bookkeeping. It is not used for any other company, and it is not sold or shared.

How we use information

We use information only to run Salute's business: managing transactions, reviewing documents, broker compliance review, paying commissions, keeping the books, keeping records, and sending notices about deals and accounts.

Service providers

We use a small number of providers to run Checkpoint:

Backups are stored on a network storage device (NAS) at the Salute office.

Cookies

Checkpoint uses cookies only to keep you signed in. We do not use advertising or tracking cookies.

What we don't do

We do not sell personal information. We do not share it for advertising or marketing. We share information only with the providers listed above, with parties to a transaction as needed to complete it, or when required by law.

Security

Access requires a user account. Passwords are stored as hashes, data is sent over encrypted (HTTPS) connections, and access is limited to authorized Salute users. No system is perfectly secure, but we take reasonable steps to protect the data.

Keeping data

We keep transaction records and documents as long as Oklahoma real estate recordkeeping rules and tax rules require, and as long as needed for Salute's business. When a user account is no longer needed, we disable or remove it.

Your choices

You can contact the office to see, correct, or delete your information. Some records must be kept to meet legal or brokerage requirements, so we may not be able to delete everything right away.

Children

Checkpoint is a business tool and is not meant for children. We do not knowingly collect information from children through the app.

Changes

If we change this policy, we will post the new version here with a new effective date.
